So many different cleaning service models out there – which one to choose?

In my capacity as a panel member of the Domestic Cleaning Alliance one of my roles is to offer support to start up cleaning business owners and one thing that is frequently discussed is setting up a business model which best suits the owner in terms of business goals, values and personality type.

Once a business owner has chosen and set up their business model they then have to find the clients who want exactly what they are selling, ie find ‘their market’ and in many cases, given the demand for domestic cleaning services in the UK, their market will be finding them!

We are aware that when you (the customer) are shopping for a cleaning service you are looking at a number of factors which will either appeal to you or not given your own needs and the way your household runs. So how to choose?

Below I will give you four of the many variables to consider, we appreciate that not all clients will want the exact same thing but you can be sure there will be cleaners out there who will be offering a service which is a great match for your needs, so when  you are getting quotes in, consider the following important factors when making your decision:

1. Is the service professionally run? Do they have correct insurance in place?

This is important because, cleaners are humans and errors are always possible, should any expensive damage occur and the fault was the cleaners, you need to know that damage will be covered. Imagine if there was a gas leak or a flood as a result of something the cleaner had done and they were not covered for the extensive damage – it does not bear thinking about. 

Equally if your cleaner should have a serious accident themselves you need to know that you will not be held accountable for their injuries which took place on your premises. The way to be sure is make sure that they or the company they work for carries full insurance for your own peace of mind.

2. How many cleaners are provided during my services?

Less important than the item above however this question can be a pertinent one if you are to be home during service. Although we know most clients are out at work during the cleans and in these cases it makes no difference but if you are working from home or elderly, it might be that you are home during service and then must consider whether you would feel better having a larger team get the clean out of the way in a faster time-frame or just one cleaner who would likely feel less intrusive while cleaning alone however would take much longer than a team to complete service. There’s no correct answer, just consider which suits you best and find out who is offering your own preferred service. Maybe you would try out a few different services before you settle on a good match for yourself.

3. Is the service good value for money?

Obviously pricing for services varies enormously, as it must because at the premium end of the market all the costs involved in making sure a service is fully managed, trained and equipped must of course, be passed on the the customer in order to run a viable business, but the good news is at the mid to higher end, you do get what you pay for and if the service isn’t the cheapest, you will know that your satisfaction will be taken very seriously as this will be important to the owners to earn the business they need. At the higher end of the market one of the most important things to look at is what kind of customer service is in place for you? If there is a good system for enquiries and someone is always there to listen to and take care of any issues for you that is a good sign. As mentioned before cleaners are human and can makes mistakes, there are easily ironed out with good communication systems in place. Make sure your service has these good systems.

4. How established is the service?

Now we all have to start somewhere and I am absolutely not saying do not give new start ups a chance to prove themselves but an older business with a good few staff and with many ‘tried and tested’ systems of work and procedures in place has more facility to take care of you properly and will have considered and learned about all the things that clients appreciate through trial and error over the years. 

Anyone who has been trading for more than a few years and hasn’t given up in what can be a tough industry will have learned how to create a business where their clients are onside and are their biggest fans, clients will be rooting for them and referring them to their friends and family. The sort of service who has earned these fans is going know how to take good care of you too! This is also doe some consideration when choosing.

These are just four main variable in service model to consider before making a purchase. Some other things to think about:

* Are there cancellation fees for time when I don’t need services? If so how much?
*  Is the service fully equipped and are the cleaners fully trained to use the chemicals correctly?
* Does the cleaning service charge ‘per hour’ or is the price based upon the scope of the work shown at the quote? Neither way is better or worse, just different pricing structures.
* Does the service offer the same regular cleaner for me and do they offer cover when she takes her annual leave? Things to think about.

There are many more and I do believe there is no wrong or right way to run a cleaning business as long as it’s run within the law and there are SO many ways to do so correctly as long as the owner know what they have chosen to offer and why plus can explain the benefits of their own way. Good services will always find themselves to be in high demand. It is really up to the customer to decide which service fits their needs and choose the one that is the best match for their household.

So how do you identify a ‘frog’ ie unsuitable cleaning service and how indeed can you meet your ‘prince’ ie your perfect match?

Now obviously, I am going to be biased towards The Professionals Cleaning Service, it being my own and all that, but, as someone who has spent years researching this industry, I would like to put forth some general advice on how to eliminate some potentially unwise choices for your own perusal and then you can make a more educated choice for yourself and avoid some seemingly harmless but potentially purse-threatening situations.

1. INSURANCE – Always make sure the cleaner or cleaning service you select is equipped with adequate public liability insurance, an uninsured cleaner is an unprofessional and if they burn your house down, cause a gas explosion or a flood in your home – then what? Also consider that an unprofessional, untrained person is MORE likely to have an accident themselves for which they can hold you liable or cause damage/breakage than a trained professional, they also may not be aware of chemical content of the products they are using, therefore putting the materials of your home and both their and your health at risk. Some combinations of cleaning chemical cause a reaction in the body not unlike drowning on one’s own body fluids – hire someone who knows about this!

To conclude this point, it is super-risky to hire an unprofessional, uninsured ‘cleaning lady’ to clean your home, even if it can seem the cheaper option – cheap can turn out to be VERY expensive in the long run!

2. THEY SHOULD BE REGISTERED AS SELF-EMPLOYED OR A COMPANY  – like Cleaning Services Cheshire. Make sure your service is a tax payer and not working ‘under the table’. If your cleaner is working illegally there is all the risk associated with an untrained person (see point 1 above) plus YOU could be decided to be their employer if the Inland Revenue should get wind of it and thus liable for back payments of any tax and statutory benefits you should have been paying as an ’employer’. Make very sure you cannot be considered to be employing someone, they must either be self-employed themselves or any cleaner they send to your home must be employed/hired by them and not by you! They should carry the responsibility themselves and not put this on you. As warned previously, cheap can indeed turn out to be VERY expensive in the long run!

FRANCHISES – With points 1 and 2 in mind, one may be tempted to think ‘well I will get what I pay for, therefore I will go with the most expensive, trusted model’ ie the franchises we all see around and know the names of! Now this is up to you and, yes, you could do worse (see above points!) there is a lot to be said for the reliability and responsibility of such a large machine as the cleaning franchise, as usually all the staff are employed directly by the company which can only be a good thing and they will be checked and trained to an extent but the drawback here is that, although expensive to pay for, the vast majority of the price goes towards the major league overheads such a large operation must carry. The cleaners themselves are only trained to a very basic standard of so-so quality, which can be erratic as all staff will perform to their own personal best (variable) and liability can be huge for such companies therefore the most basic tasks only can be undertaken. This is fair enough as such a model could not operate any other way, they do not profess to do much more than the basics in their cleans and no wrong is generally being done here, however it is my opinion that better value can be found elsewhere.

4. AGENCIES – Now we come to the ‘cleaning agency’ business model! Now as a Cleaning Services Cheshire business owner myself, I personally do not understand the benefit to the customer with this model other than that it is cheap. Why would someone pay a third party to hook them up with a cleaner with minimal further management from the company, when they could find and manage one one themselves without paying that fee? Agencies boast that they ‘background check’ the cleaners, well you can do that to the same extent yourself easily, they also ‘insure’ the cleaners, well any self-employed cleaner who is LEGAL (see points 1 and 2) will be insured anyway. They do not train their self-employed cleaners nor do they provide them with any supplies or equipment, management is minimal, so what can these agencies legally offer that you couldn’t find yourself with a well-placed ad in local shop? It seems to me that the only extra they provide is an invoice!

5. INDEPENDENT SERVICES – Now you’re talking! In my opinion it’s best to look for a service that is not a franchise or an agency but an independent company who has customer service and quality in mind. These services will be very keen to build and keep a local reputation of excellence and will never want to let you down, they will take pride in their work and train their staff to support these ideals, because they are FAR more likely to care on a personal level rather than just operating a huge business machine with no real time for individual customer communications. The larger companies have all the branding and marketing at their disposal to get their name out there, customers are disposable, however to the smaller independent cleaning service, the customer is everything, their happiness is our happiness and we take pride to serve them with excellence! This is not just an endorsement for my own cleaning services, all of the other independents I have had the pleasure of communicating with in my cleaning association memberships, including ones across the globe, ALL share this attitude of CARING how our customers feel and nurturing those relationships the best way we can.

We are professionals at our jobs, we come fully equipped with all the products and equipment we need and we know how to get the best out of them to care for your home, you will not have the expense and headache of shopping for these and maintaining the vacuum etc, it is all taken care of by people who care.

A small independent cleaning service is likely to train their staff effectively to be thorough and discreet in your home and more likely to give you the very best in customer service that they can, they are more likely to waive their fees/rules in individual circumstances and act with kindness, consideration and integrity, they are more likely to know their clients well and retain those same clients for years, even if they themselves are no longer cleaning any more, they will care very much about the standards the customer receives as, usually, a small independent company started the business with their customers’ need in mind, they care because they have walked a mile in their customers’ shoes and identified their needs, then set about fulfilling them in their service, they will listen and learn and, most importantly, they CARE how you feel!

So to wrap up – one of the best ways to find a good independent cleaning service is by word-of-mouth and referral. That is how most of our customers find us. Ask your friends and neighbours who they use and if they would recommend them, if that service is fully-booked they will sometimes put you on a waiting list, I know we will if we cannot immediately accommodate a referral. That way you know who is going to be in your home and that they will take care of you, and that is worth waiting for!
